Instructions for Scheduling Electives Heading link
- Students should review the Elective Catalog and contact the respective elective coordinator or program director for approval to add or drop their elective.
- ALL requests to add, drop, or change a scheduled clinical experience/elective must be made at least four weeks prior to start date.

- Please note that approval to drop ELEC362: Advanced (Career) Emergency Medicine requires eight weeks of advance notice.

Phase Two (M3) Clerkship Specific Instructions Heading link
- Core Clerkship scheduling is determined by a lottery.
- There are two stages to the lottery: Stage 1 – Track Assignment and Stage 2 – Site Assignment
- Requests to switch sites due to transportation issues or site preference will not be granted.
- Once the lottery has ended, students looking to switch a clinical site can reach out to classmates to request a body to body switch.

Research Electives Scheduling Form
Fundamental Requirements
Students may request to complete a research elective for credit during their M3/M4 years at UI COM:
- All MSTP students are able to request up to 12 credit hours of research credit for their PhD program.
- Please speak with Janine Sacco about how to request this credit.
- Students in the class of 2026 are able to request up to eight credit hours for an approved research elective.
- Students in the class of 2027 and all subsequent classes are able to request up to six credit hours for an approved research elective.
- Credit hours may vary if a student is also part of a Scholarly Concentration Program or Dual-Degree.
Students must work directly with a research advisor on a research elective. These electives may be longitudinal in nature, however, at least two weeks of unscheduled time is required on the students’ schedule for research electives that are four weeks or less. If a student is approved for five or more weeks of research, at least four weeks of unscheduled time must be set aside on the students’ schedule. No other experiences may be scheduled concurrently during these dedicated research weeks. All credits are registered at the same time in a single term and credit for a single research elective cannot be split.
Please use the SAMPLE Research Elective Proposal as a guide in composing your research elective proposal. Make sure to address all eight fundamental processes listed on the research elective form. MSTP students do not need a proposal.The workload demanded by the research project should be appropriate for the number of hours of credit proposed. Research electives should be complementary to the student’s overall medical school experience and not to be used to supplant other clinical or educational experience. If a student is requesting more than four credit hours for a research elective, a detailed hourly breakdown must be provided with the request.

Self-Designed and Away-Domestic Scheduling Form
- Self-Designed electives are a modification of a catalog elective, under close supervision of a faculty member or physician. They can also be an experience a student customizes to receive academic credit.
- Away-domestic electives are rotations offered at another U.S. medical school or site.
- Only away catalog sub-internships at other LCME schools will meet the UIC sub-internship requirement.

Visiting Student Learning Opportunities (VSLO)– M4’s ONLY:
- For Phase 3 (M4) Students Only
- Use the Visiting Student Learning Opportunities (VSLO) application system to apply for away electives at an LCME institution. Make sure to review their VSLO website instructions for details. (Students will receive a VSLO token a few months prior to starting their M4 year).
- Set up your VSLO profile with your information and end dates for clerkships.
- Submit applications(s) for away rotations at LCME schools and pay the necessary fee(s).
- Once your application is complete, email com-registrar@uic.edu and request to have your application be released to the host school. The Registrar’s Office will not release any applications without student consent.
- Once you are accepted for the away rotation, please submit a “Student Scheduling Request Form” to add the rotation to your UIC schedule. Include the VSLO admission email, the catalog description of the elective, and the completed self-designed/away elective
- All International away rotations must be approved by Dr. Tekian.
